Storage of toner and disposal of waste toner

Storage of toner and disposal of waste toner

Storage of toner

Toner will be stored in one centralised cupboard in each location. This stock cupboard will be controlled by Canon.

Each Location must provide its own one centrallised locked cupboard for a building. i.e. a school must decide where this is within the school.

The Council Officer, Office Team Leader within schools, or Manager within any other facility will ensure Canon deliveries are put into the cupboard and delivery notes should be stored with a folder in this cupboard. In smaller locations the delivery notes will be in the back of the main folder for signing out toner.

To gain access to this locked cupboard you should ask the Council Officer or Office Team Leader.

Toner must not be stored at any machine as it needs to be kept in a locked central location.

Update August 2023 - The location of the toner cupboard at HQ, Almada Street, has been moved on the ground floor to between IT and the Print Centre on the opposite side of the corridor. The door is clearly marked for the toner cupboard. All other processes remain as before. If required, the key can be collected from the Print Centre or from the council officers in the loading bay.

How to use the system

  1. Remove the used toner from the machine
    • Please note that this should only be done when requested by the machine. You should not change when the device says it has low level (or 20%) of toner, only when it has been all used. The low level indicator is how the machine orders more toner for the stock cupboard
  2. Take a note of the serial number of the machine and take the empty toner bottle to the cupboard
    • You will be able to get the key from the Council Officer or Office Team Leader
  3. Select the toner you require. You will find the device model (eg 4545) on the end of the box
  4. Complete the Toner removal list with your details.
    • This must always be done as this will be compared to the reporting on the machine
  5. Remove the new toner from the box
  6. Put the old toner into this box and put it into the ereco box or bin near the toner
  7. Take the new toner to the device and insert in the machine
    • There is a video on the machine that shows you how to do this. Remember to shake the toner bottle vertically as shown in the video.

Disposal of waste toner

Waste toner will also have one central location for disposal.

This service is delivered by a company called Waterloo Business Management (WBM) on behalf of Canon.

This service is included in the contract so there are no extra costs unless there is misuse of the system as the system can only be used for canon materials.

WBM can facilitate canon empty toner recycling for bottles and cartridges, canon waste toner bottles, canon replaceable units and canon broken parts.

HQ and Brandon Gate in Hamilton already have accounts for collection, so no additional accounts should be set up. If you set up an new account, please mail printing@southlanarkshire.gov.uk so we can add this account to the list of existing accounts.

To activate a site account with WBM, users would need to register via the following link: https://canonuk.oemreturn.com.

Once your account has been validated, Canon recycling will send over your unique login credentials. This can take up to 3 business days but is usually same or next business day. Please check your spam folder if you have not received any communication within this time. The new login process uses 2-factor authentication for added security.

From here you can book collections of your waste products and request supply of box(es) to place the products in (main sites have extra large wheelie bins in place).

The Portal gives visibility of all orders and collections placed, reference numbers per collection request for traceability/auditability along with the ability to download labels to attach to the box(es) and download/view waste transfer notes and certification of recycling.

If you require any additional information please email printing@southlanarkshire.gov.uk
