If an employee resigns from the council, it is your responsibility to ensure that they have received the correct amount of leave, prior to their last working day.

Employees are only entitled to a pro rata amount of annual leave based on the number of completed months they have worked. Employees who terminate part way through their last month will not accrue leave for their final month of employment.

Oracle Fusion will not automatically update an employee’s balance on submission of their resignation/termination. Therefore, it is a manager’s responsibility to work out the leave due for the employee and to check and ensure that too much leave has not been taken. To do this, managers should use the annual leave calculator. This can be found via the following link: Annual leave calculator | myWorks

Please be aware that employees are only paid for untaken leave under exceptional circumstances, therefore every effort should be made to accommodate leave requests prior to their leaving date; ensuring the outstanding balance, based on their accrued entitlement up to their termination date, is used prior to them leaving. Employees who are retiring cannot be paid for their leave therefore it is essential that you ensure all leave has been taken ahead of their retirement date.

If an employee has taken more annual leave than they are entitled, the value of this will be recovered from their final pay. You must explain that the cost of this will be deducted from the employee’s final pay.

As part of the termination process, you have responsibility to check that the correct amount of leave has been taken. When completing the termination on Oracle Fusion, you will be asked to specify if annual leave days are to be paid or deducted from the employee’s final pay.

If an employee is dismissed from their post, the termination will be completed by personnel services including the annual leave calculation.
