Identity cards
All employees without exception, must be issued with a photographic ID card to be carried at all times when at work. This enables employees to identify themselves to customers and helps maintain the safety and security of employees in conducting council business.
Partner organisations who access our buildings on a regular basis can also be issued with a different style of card that will enable access and identification.
All ID cards
To request a new card or a replacement card you can now upload to the print online shop on the intranet. The request must be pre-approved by your line manager as there are costs associated with this request.
You can access the online shop staff ID badges by using this link: https://southlanarkshire.myprintdesk.net/DSF/StaffIDBadges. You can self-register on the online shop if you do not have an account. To do this click the link above and then select the login button on the top right of the screen. Next, select the text that says register on the bottom left of the window that appears. You can then enter the text in the fields to create an account. Please note that you should be authorised by your Manager to use a cost code to use this service.
New card requests will require a new photo to be taken, if your photo is more than 10 years old then a new photo will need to be supplied. This can be done one of two ways:
1. Using your own phone or digital camera take a photo
Photos should be taken as you would for a passport or driving license - against a plain background with no other people, pets or objects. You must not use any filters on any software. The photo must be a true likeness of the actual person wearing the badge.
The photo file should be attached to the form request. Handy hint – do not copy the photo into any other software such as word or excel. The photo can be uploaded from your pc to the online shop.
2. You can request a photographer to attend your location
To request this please email photography@southlanarkshire.gov.uk with your preferred date and time, cost code, location, and the number of portraits to be taken. The cost for a photographer to attend a location is a minimum of £98 per hour.
Timescales
We aim to print and dispatch cards within 24 hours of receipt (Monday to Friday). When a high volume of cards are requested the time scale can increase significantly depending on the volume of cards. Please leave adequate time for high volumes of cards to be produced.

Accessing different council buildings
From September 2023 ID cards were programmed to allow access to the 6 main council buildings (HQ, Brandon Gate, David Dale, Civic Centre, South Vennel, Cambuslang Gate).
Employees who have a new secure door entry card issued from August 2023 do not need to request a new card when they change or move work location within the 6 council main buildings. A request can be placed on the print centre online shop on the intranet for building access changes or updates. Any queries can be emailed to printing@southlanarkshire.gov.uk.
