Recruitment

Recruitment is key to ensuring that we attract high-quality candidates to deliver services to the residents of South Lanarkshire. Recruitment feeds into our strategic workforce planning process and supports resources to ensure they have the correct number of employees with the necessary skills to meet these needs.

Ensuring that the recruitment process is streamlined and efficient is one of our key priorities. This is essential to reduce disruption to teams and ensure continuity of service delivery caused by prolonged vacancies. Personnel Services, hiring managers and candidates all have an important role in ensuring that recruitment timescales are met.

All requests to recruit should be made through Fusion and guidance on each stage of the process is available.

Starting the process (requisition stage)

Planning and preparation are integral to the success of recruitment and selection. Managers should refer to the guidance note on how to create a job requisition.

If you are unfamiliar with the recruitment process or require additional support, you are encouraged to contact your designated resource team representative to discuss the procedure prior to initiating it.

If you have a number of similar vacancies to advertise, it may be sensible to treat these as a campaign, if this is the case, please contact the recruitment team for advice on how to proceed.

Incomplete and incorrect requisitions cannot be progressed, and these will be returned to managers with the gaps and outstanding information highlighted. Therefore, before submitting the requisition, hiring managers should make sure the following steps have been followed:

  • Check that the individual position number that you want to fill has the required vacant hours and FTE against it.
  • If there are multiple positions of the same type, please also review the overall establishment cost centre to ensure sufficient vacant hours and FTE are available. If the required FTE is not available, the vacancy cannot proceed to advertisement. In such cases, managers should liaise with their Finance representative and resource team contact to resolve the issue.
  • If you are filling a newly created position, make sure that this has been added to your establishment on Fusion prior to raising a requisition. (If the position has not yet been added, please link with your Resource Personnel representative as soon as possible and make sure that you provide a copy of the approved committee report as backup.) The committee report should also be uploaded as an attachment to the requisition.
  • You have provided the advert text, job profile and person specification (if required) and any additional application questions you wish candidates to answer as part of the application process, as there are minimal standard screening questions.
  • Provide the shortlist and interview dates so these can be included in the advert.

When the required information has been received by the recruitment team, the requisition will be progressed for approval as appropriate, and the advert will then be made live. The target timescale for this is 4 working days, therefore, your cooperation in providing all the required details is appreciated and will help expedite our processes.
