Reporting an absence

If you are unwell and cannot attend work you must let your line manager know.  It is important to remain in contact with your line manager throughout your period of absence.  Both you and your line manager are responsible for agreeing on how often, and what method, will be used to remain in contact.

There are specific times when you need to contact your line manager.  For details of each, click on the buttons below:-

Day 1

You should phone in person within an hour of your normal start time.  If you work shifts, you should notify your line manager as soon as possible, and before your shift starts.  In exceptional circumstances, if you are unable to make contact, another person may notify your line manager on your behalf.

During your conversation with your manager you may be asked about the following:
•    The reason for your absence;
•    If you are unwell as a result of an accident, did the accident happen at work?
•    Whether you require any additional supports, for example, physiotherapy, counselling;
•    When you are likely to return to work;
•    Whether you have any meetings or work that needs to be dealt with in your absence.

Day 4

If you are still unwell you should phone your line manager on the 4th day (including non working days) to confirm the continuation of your absence and to provide an indication of when you are likely to return to work.

Day 7

If your absence is continuing beyond 7th days (including non working days) you must phone your line manager.  You should agree with your line manager when and how contact will be made during your continued absence.  It is important to keep your line manager updated in order that alternative supports can be arranged, as well as planning for your return to work.

For Long term sickness, contact should still be on a regular, agreed basis, but is likely to be less frequent than for short term sickness, for example on a fortnightly basis.  Periods of contact can be more or less frequent depending on the nature of your absence.

Your manager will want to discuss the following with you when they make contact:
•    The nature and progress of your illness and recovery.
•    Whether any work commitments need to be covered or re-arranged
•    Ensure you know when you must supply medical certificates.
•    Discuss any support that may improve your health or facilitate your return, e.g. physiotherapy, Occupational Health, disability related adjustments.
•    Keep you up to date with news about the workplace

If you are suffering from a stress-related disorder your line manager will automatically refer you for early intervention.  If you have a musculoskeletal absence your line manager will offer you physiotherapy, where appropriate.
